Job overview

The purpose of the role is to:

  • Administer multiple cycle training contracts & services
  • Assist with the smooth running of our cycle training services
  • Field telephone calls and emails in a professional and positive manner
  • Give support and assistance to the Head of Training

Main responsibilities

Complete office systems

  • Monitor supplies of stationery and equipment
  • Organise and store paperwork, documents and computer-based information
  • Maintain records, spreadsheets and databases
  • Organise incoming and outgoing post
  • Photocopying and printing various documents, sometimes on behalf of other colleagues
  • Cycle training programme support

Office support

  • Liaise between clients and the management team
  • Keep accurate records of all course paperwork and outcomes
  • Maintain records and paperwork relating to training courses
  • Assist with monitoring client contract-related activities and assist with implementing ongoing changes to contract requirements
  • Resolving problems where they occur, reporting promptly to the Head of Training
  • Collect feedback and information on delivery performance
  • Maintain adequate levels of course resources i.e. certificates and badges
  • Maintaining and updating our website with training information

Communications

  • Act as the first point of contact for all enquiries from schools
  • Liaise with clients and instructors to organise training courses using web-based bookings, email, telephone and face-to-face meetings
  • Answer telephone calls and deal with emails to field enquiries

Required qualities

Experience

  • Essential: High proficiency with MS Office and basic internet applications
  • Experience of working effectively within a team
  • Demonstration of administrative experience
  • Desirable: Familiarity of working in an office environment

Communication skills

  • Essential: Excellent written and verbal communicator
  • Excellent inter-personal skills to liaise with colleagues, instructors, schools and clients
  • Ability to develop strong relationships, instilling confidence and leaving a positive impression on others
  • Confident to ask for help when required
  • Discreet and able to maintain confidentiality when working with sensitive information
  • Desirable: Ability to persuade and sell services to clients

Organisational skills

  • Essential: Excellent personal organisation skills
  • Capable of administering multiple projects
  • Able to prioritise/meet deadlines as and when required
  • Able to show initiative
  • An ability to give attention to detail without losing the overall sense and objectives of required tasks
  • Desirable: Familiarity with organising tasks

Other considerations

  • Essential: Demonstrates a keen interest in business administration
  • Committed to own learning and continuous improvement
  • Highly motivated to make a difference
  • Able to maintain a positive outlook
  • Desirable: An enthusiasm for cycling

Desired qualification

  • Essential: GCSE Grade C or above or equivalent in English and Maths
  • Interest and willingness to study and train through the apprenticeship framework

Working week

9am – 5:30pm,

5 days per week,

37.5 hours per week
